2. Information collected

The enquiry form collects your name, phone number, email, document service, location, urgency, message and consent response. It also records submission date, page and landing URLs, referrer, source, campaign parameters, device/browser information, IP address and advertising click identifiers when present. Supporting records may be requested later for a specifically agreed service.

3. Why information is used

Information is used to respond to your enquiry, assess the requested service, prepare a quote, communicate, coordinate agreed work, maintain enquiry records, investigate misuse and understand where enquiries originate. Processing must have an applicable lawful basis; consent is not the only possible basis. Required contact and enquiry fields enable a response; without relevant information we may be unable to assist.

4. How enquiries and messages are handled

Form submissions are stored in the site’s lead database and emailed to the configured business recipient. A confirmation email may also be sent to you. Email, WhatsApp, hosting and courier providers may process information on their own systems when used for the service. Do not send sensitive scans or another person’s records through the initial enquiry form.

5. Sharing and international handling

Relevant information may need to be shared with staff, authorised service providers, couriers, institutions or authorities to carry out your instructions or meet a legal obligation. External images are requested from their hosts and may expose basic connection details. Where information is handled outside South Africa, applicable transfer requirements and provider arrangements must be considered before transfer. Personal information is not supplied for unrelated marketing without an appropriate lawful basis.

6. Retention and safeguarding

Records should be kept only for justified enquiry, service, accounting, legal or dispute purposes, then securely deleted or de-identified when no longer required. You may ask about the retention applicable to your record. Access should be limited to authorised persons, with reasonable safeguards for the sensitivity of the information; no online channel is risk-free.

7. Your choices and rights

You may request access, correction, appropriate deletion, or object to certain processing, subject to applicable legal limits and verification of your identity. You can withdraw consent for consent-based processing; this does not undo lawful earlier processing or remove other valid bases. An enquiry consent does not opt you into unrelated marketing.

8. Complaints and policy updates

Contact us first if you wish to raise a privacy concern. You may also approach the Information Regulator. Material changes should be reflected in this notice and communicated where required. See the Cookie Policy and POPIA Notice for related information.
